How to add a W-2

What is a W-2?

A W-2 form, also known as the Wage and Tax Statement, is a document your employer sends you at the end of each year. It shows your total wages earned and the taxes withheld from your paycheck.

Before You Start

Make sure you have your W-2 form handy. You'll need the following information:

  • Employer's name and EIN (Box c)
  • Your wages, tips, and other compensation (Box 1)
  • Federal income tax withheld (Box 2)
  • Social Security wages (Box 3) and tax withheld (Box 4)
  • Medicare wages (Box 5) and tax withheld (Box 6)

Steps to Add a W-2 in FileJoy

Step 1: Navigate to Income

From your tax year dashboard, click on Income in the left sidebar, then select W-2 wages.

Step 2: Click "Add W-2"

Click the yellow Add W-2 button to start entering your W-2 information.

Step 3: Upload or Enter Manually

You have two options:

  • **Upload your W-2**: Click "Upload" and select a photo or PDF of your W-2. Our AI will automatically extract the information.
  • **Enter manually**: Fill in the fields yourself using the information from your W-2.

Step 4: Verify the Information

Whether you uploaded or entered manually, review all the fields to make sure they match your W-2 exactly. Pay special attention to:

  • Box 1: Wages, tips, other compensation
  • Box 2: Federal income tax withheld
  • State wages and tax (if applicable)

Step 5: Save

Click Save W-2 to add it to your return. You'll see it listed on your W-2 wages page.

Tips for Accuracy

  • Double-check all numbers before saving
  • Make sure the employer EIN matches exactly
  • If you have multiple W-2s, add each one separately
  • If you uploaded and the AI missed something, you can edit the fields manually

Troubleshooting

My W-2 upload didn't work correctly

Try uploading a clearer image or PDF. Make sure the entire W-2 is visible and the text is readable.

The numbers don't match my paycheck stubs

W-2s show annual totals, which may differ from individual paystubs due to pre-tax deductions.

I have multiple W-2s from the same employer

This can happen if you changed departments or if there was a payroll system change. Add each W-2 separately.
